From one captured process to a company that doesn't depend on one person
Our product roadmap, and the long-term value we believe Knowflow can create. We start narrow, and each step is built on the one before.
One system that grows, not ten products
Each phase creates the foundation for the next. Everything is built on the same picture of how your company works, so nothing has to be rebuilt along the way.
- Capture knowledge
- Structure the work
- Teach people
- Observe execution
- Learn and improve
- Understand skills
- Hire against real work
- Let AI assist
The roadmap
Ten phases in four horizons. We are between phase 1 and phase 2.
Now
Proving the core
Claims 1–3: capture, structure, transfer
- We are here1
Knowledge capture
· AI process interviewerInterviews an experienced employee and turns what they know into a structured process they can review.
Unlocks: Proof that AI can capture what experienced people know.
- 2
Process system
· Processes people can followStores processes with their steps, decisions, owners, evidence and versions, so employees can actually follow them.
Unlocks: Moves from documents to knowledge people use in their work.
Next
Proving the return
Claims 4–5: reduce dependency, improve
- 3
Knowledge transfer
· AI trainer and onboardingNew employees learn a process by doing it, guided step by step, and get answers from validated company knowledge.
Unlocks: The strongest return: less dependence on senior employees.
- 4
Execution & learning loop
· Process intelligenceRecords how processes are actually carried out: questions, deviations, failures, outcomes. Finds the gaps.
Unlocks: Knowledge stops being static and starts learning from real work.
Later
Building company memory
Claim 6: replicate
- 5
Company memory
· How this company works, and whyConnects processes, decisions, rules, skills, people and evidence into one picture of how the company works.
Unlocks: A record of how your company actually works that is hard to replace.
- 6
Continuous improvement
· AI process analystSpots bottlenecks, outdated steps and recurring problems, and proposes improvements for people to approve.
Unlocks: Accumulated experience becomes better operations.
- 7
Skills & roles
· Skills and competencyMaps roles to the processes and skills they need, and shows who can already do what, based on real work.
Unlocks: From “what the work requires” to “who can do it”.
Vision
The company as a living system
Claim 7: scale
- 8
Hiring & workforce planning
· Hiring based on real workRole requirements, assessments and onboarding plans built from the company's real processes, with people making the decisions.
Unlocks: Hiring against real work, not generic job descriptions.
- 9
AI assistants for your processes
· Company AI agentsAssistants that teach, guide and support people through company processes, working from the same validated knowledge.
Unlocks: Company knowledge that AI can work with, under human control.
- 10
Company operating system
· A living model of the companyKnowledge, processes, decisions, people, skills and execution in one system that keeps itself up to date.
Unlocks: A business that runs on its system, not on a few people's memory.
How we move forward: a chain of yes
We don't build the big platform first. Each question has to be answered “yes” with real companies before we work on the next.
- 1Can we turn what's in an experienced employee's head into a process another person can perform?Testing now
- 2Can we do it much faster with AI?
- 3Can we connect those processes to roles and people?
- 4Can we use that knowledge to onboard new employees?
- 5Can we use the same knowledge to improve hiring?
- 6Can what we learn from real work improve the business?
Long-term vision
A business whose know-how lives in its system, not only in people's heads
This is where we want to go, not what we promise today. Each part has to be earned with real results first.
Opening a new location without copying the founder
When a company opens location #2, the system already holds what it needs: the roles, the processes, training and onboarding plans, quality standards and checklists. The founder sets direction instead of moving there for months.
A learning network across every location
One location finds a better way to do something. The system notices the better outcome, head office approves it, and the new standard reaches every location with the training to match.
Onboarding built for each person
The system knows what a role requires and what a new person already knows. Onboarding becomes the difference between the two, not a 40-page manual.
Hiring based on evidence, decided by people
Role requirements come from the real work. Candidates are compared against them, requirement by requirement, with visible evidence and gaps. No opaque “fit score”; people decide.
Decisions: the why behind the work
Every important decision is kept with its context, the options considered, who decided and what it replaced. A new decision supersedes the old one instead of overwriting it. People and AI assistants see not just what to do but why, and a decision is flagged when the assumptions behind it stop holding.
An assistant that knows how your company works
Not a generic chatbot over documents. An assistant that captures (“tell me how you do this”), teaches (“here's how”), notices (“you seem stuck at step 4”), and flags (“the process says X, but recent work followed Y”). It proposes; people approve.
A company that improves itself
Every question, mistake and workaround becomes a signal. Out-of-date knowledge gets flagged before it causes problems, and processes improve each time they're used.
The measure that matters most
Founder Dependency Rate: out of every 100 operational questions or escalations, how many still need the founder or a senior expert? Our long-term job is to bring it down.
Illustrative example only, not a measured result. Today we measure the first step: how often a beginner needs the expert.
Value for everyone in the company
- Founder
- Defines the system, approves important changes and handles real exceptions, instead of answering every question.
- Managers
- See which processes work, where people struggle, and what to improve next.
- Experienced employees
- Explain something once, then spend their time on work only they can do.
- New employees
- Learn by doing, with answers from validated knowledge, and become independent sooner.
- New locations
- Start from the best location's way of working and learn from every other location.
What stays true at every phase
- ✓AI proposes; people approve anything official
- ✓Experts stay in control of their knowledge
- ✓Every process has an owner and evidence behind it
- ✓We earn each claim before we make it
- ✓We move to the next phase only when the current one is proven
An honest limit
Written-down knowledge alone doesn't make a business ready to replicate. Economics, supply, location, legal, leadership and local adaptation matter too. Our part is to make the know-how and the way of working something every location can learn and follow.
It all starts with one process
One expert, one process that matters, one beginner who has never done it.
